In-depth guide: Seferi for container transport

Why does container work run on the phone?

A single container haul carries several separate pieces of information: the container number, its size and type, the gross weight, the port it is collected from, the delivery address and, once the job is done, where the empty container has to be dropped off. This information is often scattered across different lines of a single email. The planner moves it first into an Excel sheet, then into a pricing sheet, then into the message to the driver; every copy is another chance for a letter or a number to slip.

Once the job starts, information keeps travelling by phone. Has the container been collected from the terminal, is the truck on the road, has unloading at the customer finished, has the empty been dropped off? Each of these questions is another call. The job looks finished at delivery, but a container job is not really closed until the empty has been returned; and at month end the paperwork has to be hunted for in folders.

The request inside Seferi, the load parsed by AI

In Seferi you read your email without opening Outlook or Gmail, in the familiar three-column layout. Seferi's AI reads every incoming transport request on its own: it separates the load details and the loading and delivery locations. Any missing information stays flagged on screen, and you can create a ready reply draft to ask the customer for it.

The email itself stays on the job, so the container number, the size and the empty return note always appear exactly as the customer wrote them. The parsed request reaches the costing screen in one click; you do not retype anything.

Price: cost items and your margin

A container haul is priced as a full load. On the costing screen Seferi adds up the truck's cost items: fuel and AdBlue, tolls and motorways, driver pay, depreciation, insurance and maintenance. You set the margin; the sale price follows from it and is rounded up to the nearest hundred lira. The calculation summary shows where the figure comes from, item by item.

Once you approve the price, the quote message for the customer is drafted and sent as a reply to the email the request came from. The quote is valid for 21 days; when the customer accepts, the job drops into your order table.

Choosing a truck: capacity, distance, confidence

When you assign a plate, Seferi suggests suitable vehicles. Each suggestion comes with a score, two short reasons and the vehicle's status: how many kilograms of free space it has left, how many kilometres it is from the loading point and how confident the suggestion is. A vehicle whose capacity is not enough alongside its current jobs, or that is not available on the loading date, does not make the list at all.

The final decision belongs to the planner. The chosen plate is written to the job, the job moves to Vehicle Assigned and the task goes straight to the driver's app. Who hauls which container in the morning is visible in a single table.

The status flow: from the terminal to the empty return

For a company that carries containers, a job moves through its own stages: Vehicle Assigned, Collected from Terminal, On the Way, Loading/Unloading at Customer, Empty Container Returned and Completed. The driver sees the job in the Seferi mobile app, where the stops are labelled Terminal and Customer. The driver reports each step in the app and you see it on the planning screen at once; there is no need to pick up the phone to ask.

During loading or unloading at the customer and when the job is completed, documents are added in the app with a photo and attached to the job. Because the empty return is a separate step, a container that has been delivered but whose empty has not been dropped off stays visibly open in the list instead of being forgotten. You decide the names of the stages, and which document is requested at which stage, to suit the way your company works.

One table, the management report and accounting

At most companies container operations are tracked across several Excel files: quotes in one file, the haulage plan in another, costs and invoices somewhere else. Seferi brings them all into one table; you type into cells, filter, sort and select in bulk just as before. Jobs are grouped by the person in charge, and every row shows the plate and the status.

The management report shows the whole month on one screen: revenue, cost and profit, with loss-making jobs and jobs with missing data in a separate list. When a job is finished, the invoicing data is passed to Logo or Siber without being retyped; the invoice itself comes from your accounting software. The U-ETDS notification is made from the trip record in Seferi.
