In-depth guide: Seferi for warehouse LTL and transfers
Why is warehouse LTL hard?
In warehouse LTL one job is completed by two trucks. The truck that collects the load from the customer and brings it to the depot is one; the truck that takes it from the depot to the delivery point is another. Most companies keep these two legs in separate lists: the collecting truck's plate in one table, the load at the depot on a whiteboard, the delivery plan in yet another Excel file. Notes such as "XX // DEPOT" pile up in the plate cell, and only the person who keeps the file knows which stage the job is at.
The real risk is the load waiting at the depot. A load that reached the depot yesterday but did not get onto a truck today is forgotten if it does not appear on the next day's list; when the customer calls to ask "where is my load?", the answer takes several phone calls. When the delivering truck is chosen, free space is asked by phone as well, and the plate, driver and phone number are typed out for the customer one by one.
Request and price: your email inside Seferi
In Seferi you read your email without opening Outlook or Gmail, in the familiar three-column layout. Seferi's AI reads every incoming load request on its own: it separates origin and destination, and each load's dimensions, weight and count. If stacking is unclear in the email, it asks you; it does not guess.
The parsed request reaches the costing screen in one click. Seferi works out loading metres, adds up the cost items and applies your margin to produce the sale price; when you approve, the quote message for the customer is drafted too. Our loading metre calculator shows step by step how loading metres are calculated.
First leg: the truck that brings the load to the depot
In the evening you review tomorrow's jobs with one click. Smart Planning groups loads that go the same way and whose pickups are close to each other into the same truck, shows each truck's fill rate and suggests the plate nearest to the pickup. The plan changes nothing until you approve it; once you approve, the plate is written to the job as the Receiving truck.
The driver of the collecting truck sees the job in the Seferi mobile app and reports the steps and documents at the loading point from the app. The document is attached to the job; nobody in the office takes a photo from one place and types it in somewhere else.
Load waiting at the depot: status in one click
The load's journey through the depot is tracked with statuses: Picked up, when the load is on the collecting truck; Waiting at depot, when it is unloaded at the depot; Ready to ship, when it is loaded onto the delivering truck. Then come On the road and Delivered. The status changes in one click; you can select several jobs loaded onto the same truck and change their status in bulk.
You edit the names, order and colour of the stages to suit your company; some companies add a stage in between, others work with a simpler flow. Every stage goes into the job's history, so nobody has to search later for when the load entered and left the depot.
Transfers: jobs waiting for a truck for the next leg
The Transfers screen is the order table prepared for the depot. The Receiving truck and Delivering truck columns sit side by side: the plate and driver of the truck that brought the load in one cell, the delivering truck in the cell next to it. If there is no delivering truck yet, the cell reads "Assign plate", so you see at first glance which job is waiting for a truck.
Jobs are sorted and grouped by delivery date, with the oldest promise at the top. Because the screen shows every unclosed job with a loading up to the day you pick, yesterday's leftover load does not drop off today's list. After 18:00 the screen opens on Today by itself, so the end-of-day check takes a single look. You can download the list to Excel in its on-screen layout and share it with the depot.
The delivering truck and informing the customer
When you double-click the Delivering truck cell, Suggested vehicles opens. Next to each truck you see how much free space it has left, in kg; the truck and driver you pick are written to the job as the Delivering truck. So nobody phones around to find an empty truck, and no job goes to a truck that cannot carry the load. The choice always belongs to your planner.
Once the delivering truck is set, informing the customer takes one click: right-click the job and choose Notify customer, and on the Delivering vehicle tab an email with the plate, driver name and phone number comes ready. You can select several jobs and send it to all their customers at once.
Revenue, cost and profit without waiting for month end
The management report shows the whole month on one screen: revenue, total cost and profit; which quotes were approved, which jobs ran at a loss; jobs missing a price, plate or cost. A job with missing data does not inflate the headline figure; it waits in a separate list and joins the figure once complete.
When a job is finished, the invoicing data is passed to Logo or Siber without being retyped. Your accounting software issues the invoice; Seferi carries the data it needs. Information entered in operations is never typed a second time in accounting.
Frequently asked questions

What do Receiving truck and Delivering truck mean?
The Receiving truck collects the load from the customer and brings it to the depot; the Delivering truck takes the load from the depot to the delivery point. Both sit on the same order and appear side by side on the Transfers screen.
Does a job waiting at the depot drop off the list the next day?
No. The Transfers screen shows every unclosed job with a loading up to the day you pick; jobs left over from earlier days stay on the list. Closed jobs move to the bottom of the list.
Does Seferi assign the delivering truck itself?
No, it makes suggestions. Double-click an empty Delivering truck cell and trucks with free space are listed with their kg; the planner makes the choice.
How does the customer get the delivering truck's details?
Right-click the job and choose Notify customer. On the Delivering vehicle tab an email with the plate, driver name and phone number comes ready; you read it and send it.
Can I rename the depot stages?
Yes. You edit the names, order and colour of the stages to suit your company; you also decide which document is required at which stage.
